ILDHAFN COMMITTEE MEETING – October 2020
Minutes dated 3 October 2020
Meeting opened at 1.16pm
Attendees: Ludwig von Regensburg (Seneschal, Webminster), Sympkyn of the Moor (Quartermaster), Elyna Delynor (Chatelaine), Griete van Groningen (A&S Officer), Eleanor Hall (Reeve), Emrys Tudor (Marshal) (via Zoom)
AGENDA:
1. Opening and Welcome: by the Seneschal
2. Apologies: Christine Bess Duvant (event steward).
3. Minutes of the previous meeting: Sympkyn moved that the minutes from the previous meeting (September 2020: https://ildhafn.lochac.sca.org/node/1778) be accepted by this meeting. Seconded by Elyna, vote was in favour, motion carried.
4. Matters Arising from the Minutes
None.
5. Officer Reports:
- Seneschal (Ludwig)
Obviously, things have been limited by Covid-19 recently. I anticipate Auckland will move to level 1 next week so hopefully we’ll have a window of opportunity to have some events. Apart from that nothing to report.
- Webminster (Ludwig)
Haven’t made any significant changes to the website recently but I will have the opportunity to do some maintenance soon. My period in this role is about to end, I will advertise the role as usual, but I am in a position to re-apply if required.
- Chatelaine (Elyna)
Have been contacted by a LARPer friend who has garb to donate to Gold Key. Other than that nothing to report.
- Captain of Archers (Ahmed)
No report.
- Herald (Maximilian)
No report.
- Marshal (Emrys)
We are still doing stabby things in Ildhafn. Covid-19 obviously put a hiccup in that when we went back to level 3 briefly, but we’re back on track. We are going through the holidays next week and straight into term 4 given we missed some time. The church we use for rapier fencing is being deconsecrated and then sold, so we will have to find a new venue at the end of the year.
Also, apparently, there is an invoice from last year that we didn’t pay. I have sent that through to Sympkyn and Ludwig so could you please take a look at that. In the meantime, I will be closing off this term shortly so there will be an invoice for that coming soon.
I would like to propose a war band uniform for Ildhafn so that we can look like a unit when we gather for war or similar. I have a couple of ideas for design, and I would like to start by getting opinions and ideas from people who are likely to be wearing it.

Not much to report.
Ludwig: Have you have any contact from Exchequer?
Eleanor: Nope. What date is the next quarter?
Ludwig: October. You will be able to touch base with them when you report. Confirm with them that the Reeve email address is going to you.
- Quartermaster (Sympkyn)
Nothing new to report. Still haven’t had the tablecloths back from the last event.
- A&S Officer (Griete)
Nothing to report.

7. Upcoming Events:
Summer Event (Ludwig):
There has been pre-advertising online, by email and facebook. Isabell has offered to cook the Saturday feast. Christine has confirmed with the site that if Covid-19 stops play we can rebook. I haven’t sorted breakfasts yet, but Christine and I will handle lunches between us. I haven’t arranged any day stewards yet, but Sympkyn has offered to help and there are a few other avenues to follow.
Sympkyn: I had a word with Ahmed regarding archery for Summer Event, we have killed one target by shooting out the middle, but we have others and we can make others.
Elyna: There is a chance I won’t be there, given my harp exam is two days after that weekend. I am currently planning to go but will decide closer to the time given it is a big exam. So bear in mind when handing out day-steward duties that Sympkyn may be Baroning solo.
Ludwig: I will speak to James of Southron Gaard about the rapier champion cloak, and ascertain whether he will be coming up or whether I need to arrange getting it from him. Also, I will touch base with the local heavy fighters and see if they want a tourney scheduled.
St Valentine’s Day Massacre (Ludwig):
I believe we already have the venue booked so that’s great: 13th Feb 2021. We don’t have an event bid yet but there is still time.
Elyna: There’s a chance I could do it, by then life might have settled a bit. But I’m always happy for someone else to take it on.
Griete: If you do end up running it, I could help with food again.
Ludwig: We could advertise for a steward.
Sympkyn: Yep we could do that, it would make a good easy option for a new steward, or a couple of new stewards, with me or someone else offering guidance.
(General approval.)
Ludwig: That date will place it two weeks after CF, not that this is a problem. I will go ahead and advertise for a steward.
8. Other Business:
Canterbury Faire (Sympkyn):
Canterbury Faire will be on us before we know it. We should see who wants to run the Ildhafn campsite.
Ludwig: Yes, we should. I have had a few people say they’re planning to camp in the Ildhafn area so we should sort things.
Elyna: Sympkyn and I are going but will be in the bunkrooms as usual.
Heavy Trophy (Elyna):
Just that this is still to be sorted. Sympkyn and I will aim to get this done before Summer Event.
