ILDHAFN COMMITTEE MEETING MINUTES – MAY 2020

Meeting opened at 1.07pm
Attendees (remotely via online Zoom meeting): Ludwig von Regensburg (Seneschal, Webminster), Serafina di Giovanni Carducci (Reeve), Sympkyn of the Moor (Quartermaster), Elyna Delynor (Chatelaine)
AGENDA:
1. Opening and Welcome: by the Seneschal
2. Apologies: William de Cameron (Marshall), Griete van Groningen (A&S Officer), Maximilian von Monsterburg (Herald), Ahmed (Captain of Archers)
3. Minutes of the previous meeting: Sympkyn moved that the minutes from the previous meeting (April 2020: https://ildhafn.lochac.sca.org/node/1758) be accepted by this meeting. Seconded by Ludwig, vote in favour, motion carried.
4. Matters Arising from the Minutes:
Ludwig: I have not yet advertised for event stewards for Summer Event, I will get onto that.
5. Officer Reports:

Couple of online events ran which were well appreciated.
- Webminster (Ludwig)
I’m not overwhelmed with photos (garb and plain clothes as discussed) so more would be great please.
- Chatelaine (Elyna)
Instagram followers up to 153. Have been releasing photos from the last event in a slow trickle, on Instagram and Facebook.
Ludwig: I like the gradual trickle of photos, it has been good.
E: I might keep doing that method in future, even after lockdown ends.
- Captain of Archers (Ahmed)
No report.
- Herald (Maximilian)
No report.
- Marshal (William)
By email: Not much going on obviously. Have advertised for new Marshal.
- Reeve (Fina)
I emailed Exchequer and Senechal recently; I am just finishing the overdue report because I now have the information I needed, Exchequer knows it will be late and is ok with this. My real-life situation is causing me to need to move cities and I will likely be moving to Darton, therefore I cannot be Reeve of Ildhafn any more.
Also on a side note, who has heard of ‘Kahoot’, we could potentially use it to have an SCA “pub quiz”!
Ludwig: I have used it for teaching, that is a great idea. Thank you for your service and we will be sorry to see you go.

Nothing much to say, stuff still in the shed, and safe. Big Ildhafn banner is with Alyenora as she is making a new one, and I haven’t had an update for a while but given we have all been in lockdown she may have had to stop working on it.

6. Past Events:
- Online Zoom Gathering by Eleanor Hall
Both were good fun, nice to see people and have chats, also Liars Dice via online camera was great. We must look at having another one. Thanks for facilitating, Eleanor!
7. Upcoming Events:
- Summer Event: (Sympkyn)
Got the email from the venue with invoice for deposit which needs to be paid mid-May, I’ll set up the payment and get Eleanor to approve. There is a form to fill out which I will complete asap.
8. Other Business:
- Replacement of Heavy Tourney trophy (Sympkyn/Elyna)
Further options have been emailed to committee list for comment, feedback and final decision sought. Sympkyn will set up a poll and send to Ildhafn and Cluain email lists and facebook groups, to invite comment from the populace as to the options.
- Baronial Coronets (Sympkyn/Elyna)
We have passed the committee's instructions to Sebastian and he will report back in due course. If we haven’t heard back by the end of level 3 we will touch base with him again.
L: It would be great to have them back for Summer Event at least.
S: I will find out if he needs any money up front.
