Council Minutes Monday 29/01/07

Meeting Opened 7.40pm

OFFICER REPORTS

Seneschal (Outgoing):

Returned key of Office to Baroness

Need to change Seneschal details with Kingdom Seneschal

Seneschal (Incoming):

Received Key of Office from Baroness

Need to arrange signatory changeovers with bank.

Chatelaine:

Need replacement as have stepped up as Seneschal. AP – Wendy to post to list.

Kelsie would like baby clothes that have been inadvertently added to Gold key returned to her.

Herald:

AEsa Hrolfsdottir name passed, device returned

John Bucstan du Glonn device passed

Currently in process of rewriting some of the Baronial Ceremonies with the B&B

Constable:

Slowing building up lost property again. Will be taking photos shortly.

St Cath's auction went really well. $155 taken.

Archery:

Attended St Sebastian's. Lots of archers participated in Baronial Champion Tournament. Simon of Cluain retained his title.

Arts and Sciences

: St Cath's – had more teachers this time which was good.

Need to find replacement by July as term ends then. AP – Wendy to post to list

Baron and Baroness:

St Cath's – gave out a lot of awards. New tokens made.

New Baronial Rapier Champion won– Emrys Tudur.

Attended St Sebastian's, Simon of Cluain named Baronial Archery Champion.

Will be attending Canterbury Faire.

Marshall:

Report e-mailed. Needs replacement by July. AP – Wendy to post to list

Deputy Heavy:

Trainings being held, no injuries. 100 Blows Challenge up and running.

Rapier:

Baronial Champion Tourney held at St Cath's. Won by Emrys Tudur. Practises very quiet at the moment.

Reeve:

Received $155.00 from Nick for Lost Property auction

Received $262.80 from Wendy for Yule

Received $536.00 from David for St Catherine's Faire

PAST EVENTS

St Catherine's Faire:

83 people attended. Profit of $249.81

2 refunds need to be made – to Kelsie and Helen

2 cheques needed – to SCANZ for Day Membership and Kingdom Levy

Tournaments went well – great turnouts

Friday feast was relatively successful

Kitchen knives need replacing; mortar and pestle would be handy; more oven mitts also needed.

Pricing for Motu Moana is $20 pp for the weekend – i.e. if 20 people bunk Friday night, but 23 bunk Sat night, we will be charged for 23 people for 2 nights.

Need to talk to Motu Moana about safety issues –several incidences of slipping on ramps and stairs AP– David.

Lack of flexibility in kitchen was discussed.

Yule:

Relaxed atmosphere, nice and cruisey. Everyone seemed to enjoy playing games. Good turnout.

Profit of $76.80 made.

St Sebastian's:

Baroness attended and held court.

Archery Champion found – Simon of Cluain.

UPCOMING EVENTS

St Georges:

Weekend 20th – 22nd April at Robin Guy's parent's farm.

The Bloth:

St Catherine's Faire:

Bids required. Pencil booked at Motu Moana for Thurs 29th Nov – Sun 2nd Dec. Potential Stewards need to be aware that a wedding is planned for the Friday. AP – Wendy to post to list

GENERAL BUSINESS

Officers are reminded that any expenditure must be put to the council for approval. This can be done via Council mailing list if needed between meetings. If urgent, contact Seneschal and Reeve by e-mail or phone.

Nick spent $120.00 on Silicon for Baronial tokens, as requested by the Baron. Needs 50% reimbursed – has used remainder of silicon for personal use. * Chq for $60.00 issued.

Kelsie purchased, some time ago, a portable stereo for use at events. Cost $83.95 including batteries. * Chq for $83.95 issued.

Baronial Fund needs to be kept better track of and used for appropriate purposes.

Bridget Johnson-Dymock presented an event proposal to the council for an Arts and Sciences event. One day only – Sat 15th September at Camp Maynard, Albany. * Council approved event proposal with some minor amendments.

List stakes need adjusting to be made safe. Fulk has stakes in Hamilton. AP – Andrew to contact Fulk to see what needs to be done.

Stewards – discounts are available at The Mad Butcher and Green Rebel for event catering, if you ask nicely. AP – David will write to both companies to try to get something in writing confirming this.
